We are seeking a bilingual (Spanish/English) and detail-oriented Administrative Assistant to support our surveying team with administrative tasks related to land surveys and mapping projects. The ideal candidate will be organized, communicate effectively in both Spanish and English, and provide excellent support in a fast-paced office environment. This position will involve assisting with document management, client coordination, answering phone calls, and supporting ongoing surveying projects.
Key Responsibilities:
- Organize, file, and maintain survey records, maps, and reports in both Spanish and English.
- Assist with scheduling field visits, client meetings, and survey appointments, ensuring clear communication with Spanish- and English-speaking clients.
- Creating survey estimates/proposals and invoicing via Quickbooks.
- Handle phone calls and other communications in both Spanish and English, providing project updates and information requests to clients and contractors.
- Prepare, proofread, and file survey documentation and reports in both languages.
- Support the survey team by maintaining equipment inventories and preparing materials for fieldwork.
- Help manage & track project deliverables, including proposals, cost estimates, and progress tracking, in both languages.
- Perform general office tasks such as answering emails and assisting with data entry in both Spanish and English.
Requirements:
- High school diploma or equivalent; Associate’s or Bachelor’s degree in a related field is a plus.
- Bilingual in Spanish and English (verbal and written communication).
- Experience in administrative support or office management (experience in surveying is a plus).
- Strong organizational skills with attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Excellent written and verbal communication skills in both languages, with the ability to handle phone calls professionally in both Spanish and English.
Preferred Skills:
- Familiarity with Quickbooks or other CRM software for invoicing/financial tracking.
- Familiarity with GIS or surveying/construction software.
- Basic knowledge of surveying/construction terminology and processes.
- Ability to manage multiple tasks and meet deadlines in both languages.
- Self-motivated with the ability to work independently and take initiative.

Pay: $15.00 - $20.65 per hour
Expected hours: 40 per week
