Accounts Payable & Administrative Clerk - Bilingual (Spanish)

Position Overview:

We are seeking a detail-oriented and tech-savvy Accounts Payable & Administrative Clerk to manage financial transactions and assist with administrative duties. This role involves processing invoices, reconciling accounts, verifying pricing, and handling vendor communications while also supporting general office tasks. The ideal candidate will be highly organized, proficient in QuickBooks, and capable of multitasking in a fast-paced environment.

Key Responsibilities:

  • Process and manage end-to-end accounts payable transactions, from invoice receipt to payment execution.
  • Accurately record invoices and bills in QuickBooks, ensuring correct amounts and reconciliation.
  • Verify invoice pricing against purchase orders and contracts to ensure accuracy before processing.
  • Communicate with vendors to resolve discrepancies and ensure timely payments.
  • Assist with month-end and year-end financial close.
  • Generate reports to track AP performance and identify areas for improvement.
  • Support administrative tasks, including using a postage machine, taking customer orders, and directing phone calls to the correct department.
  • Provide customer service by assisting internal teams, vendors, and clients.
  • Utilize Microsoft Office (Advanced Excel required) and other accounting software.

Specifications:

  • Full-time: Monday to Friday, 9:00 AM to 5:30 PM
  • Pay Range: $18.00/hr to $20.00/hr, depending on experience
  • Bilingual (English & Spanish) preferred
  • Proficiency in QuickBooks & Microsoft Office (Advanced Excel required)
  • Strong attention to detail, time management, and organizational skills
  • Ability to work independently and under pressure to meet deadlines
  • 30-day probation period

Qualifications:

  • 1+ years of office and/or customer service experience
  • Strong verbal and written communication skills in both Spanish and English
  • Ability to interact effectively with individuals or groups on a frequent basis
  • Highly organized, self-disciplined, and eager to learn
  • Excellent math skills for accurate transaction processing
  • Must be able to pass a skills assessment during the interview process

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
