SENIOR FINANCE & ADMINISTRATION MANAGER – WINERY ESTATE
ConfidentialThe Senior Finance & Administration Manager is a key leadership role responsible for managing the financial health and administrative operations of the winery estate. This position ensures strategic alignment across departments, supports business decision-making through accurate financial reporting, and oversees core administrative functions to promote operational efficiency.
Financial Management
- Perform full-charge bookkeeping for multi-entity company group.
- Support financial planning, budgeting, forecasting, and reporting, with potential to expand into full financial oversight
- Manage accounts payable, accounts receivable, general ledger, and payroll functions
- Prepare and analyze monthly, quarterly, and annual financial statements in a timely manner
- Monitor cash flow, working capital, and financial deadlines
- Lead the cross-departmental inventory management process, ensuring accurate and timely counts, reconciliations, and reporting—particularly as inventory impacts the balance sheet
- Ensure compliance with GAAP and other relevant financial regulations
- Coordinate and support financial audits as applicable
- Conduct weekly bank deposits and manage cash handling protocols
Business Administration
- Oversee day-to-day administrative functions including office operations, meeting coordination, facilities, and procurement
- Maintain effective administrative systems, policies, and procedures across departments
- Manage insurance policies, licensing, vendor contracts, and company records
- Coordinate IT support and infrastructure management as applicable
Human Resources Oversight
- Administer onboarding, benefits, compliance, and payroll in coordination with HR support
- Maintain up-to-date employee records and ensure compliance with labor laws and company policies
- Track performance management and employee development milestones
Strategic Planning & Analysis
- Provide strategic financial insights to support executive-level decision-making
- Support financial modeling and business case evaluations for projects and capital investments, with potential to expand into full financial oversight
- Monitor and report key performance indicators (KPIs) and operational metrics
- Collaborate with department leaders to review department financial reports, and align budgets and financial targets with organizational goals
Compliance & Risk Management
- Ensure timely filing of tax documents, business licenses, and renewals
- Maintain internal controls to safeguard company assets and ensure compliance
- Monitor regulatory updates and ensure the organization remains in good standing
- Identify financial and operational risks and recommend mitigations
Team Leadership & Collaboration
- Lead and mentor the finance and administration team with a focus on accuracy, accountability, and continuous improvement
- Foster effective cross-functional collaboration with departments including operations, HR, marketing, and executive leadership
Qualifications
- Bachelor’s degree in Business, Accounting, Finance, or a related field preferred (or equivalent work experience)
- Minimum 7 years of experience in accounting and finance, preferably across multiple entities
- Demonstrated experience in bookkeeping, finance, and administrative management
- Proficiency with accounting software (e.g., QuickBooks) and payroll systems
- Strong understanding of accounting principles and applicable regulations
- Exceptional organizational and multitasking abilities with attention to detail
- Excellent written and verbal communication skills
- Proven leadership, integrity, and discretion in handling sensitive information
- Must be available to work onsite full-time, Monday through Friday, in Santa Ynez, California

Job Type: Full-time
Pay: $80,000.00 - $110,000.00 per year
