Accounts Payable Specialist

We are seeking a detail-oriented and organized Accounts Payable Clerk to join our HOA/Condo Property Management team. The ideal candidate will be responsible for processing and managing all aspects of accounts payable transactions, ensuring accuracy, and maintaining positive relationships with vendors and service providers. This role requires strong communication skills, attention to detail, and the ability to work collaboratively within a fast-paced environment.
Key Responsibilities:
- Review, verify, and process invoices for payment, ensuring proper coding and approval.
- Maintain accurate records of accounts payable transactions in compliance with company policies and procedures.
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Process and prepare payments, including checks, ACH transfers, and wire transactions.
- Communicate with vendors and suppliers regarding invoice inquiries and payment status.
- Maintain organized and up-to-date files of payment records and invoices.
- Support month-end and year-end financial close processes by providing necessary documentation and reports.
- Assist with maintaining and updating vendor records in the accounting system.
- Collaborate with property managers and other departments to ensure accurate and timely processing of payments.
Qualifications:
- High school diploma or equivalent; associate degree in accounting or related field preferred.
- Proven experience in accounts payable or general accounting, preferably in a property management setting.
- Proficiency in accounting software (e.g., QuickBooks, Yardi) and Microsoft Office Suite, particularly Excel.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent attention to detail and problem-solving abilities.
- Effective verbal and written communication skills.
- Knowledge of HOA/condo property management operations is a plus.
